Ask any logistics or dispatch operator in Nigeria about their worst week and the story is usually the same. A customer insists a delivery never arrived. The rider says it did. The carbon-copy waybill is somewhere in a van, torn, or filled in so badly that nobody can read who signed it. Logistics management software is meant to end that story: every order, dispatch and delivery is recorded as it happens, and proof of delivery is captured on the spot instead of argued about later.
This guide is for owners and managers of courier, delivery, haulage and distribution businesses. It covers why waybills and proof of delivery break down on paper, what a proper waybill and dispatch flow looks like, and how to move your team across without losing a day's work.
Why paper waybills and phone dispatch fail
Paper and phone calls work while the business is small. As soon as you have several riders or trucks and a steady flow of orders, the cracks show.
Orders arrive in too many places
Pickup requests come by phone call, WhatsApp, a walk-in at the office and a message to a rider's personal number. One missed message is one lost customer, and nobody can say afterwards whether the order was ever taken.
Waybills go missing or do not match
Carbon-copy waybill books get lost, torn or filled in badly. The office copy rarely matches what was actually loaded or delivered, and a waybill book does not say whether the customer paid, how much, or whether a refund was agreed.
Dispatch lives in someone's head
When jobs are handed out by phone, the dispatcher is the only person who knows which rider or driver has which package. If that person is off sick, the office loses track of the day.
Proof of delivery is a scribble
A signature on paper does not settle a dispute weeks later. Without a name, a time and a location recorded at the moment of handover, the customer's word stands against the rider's.
Customers call the office for updates
"Where is my package?" is a phone call to the office, followed by a phone call to the rider, followed by a phone call back to the customer. Each delivery generates several calls that add nothing.
What good logistics management software does
The fix is one flow from order to proof, where each step is recorded once and linked to the step before it. This is how it works in Rydmate.
Every order is captured in one place
An order records the customer, pickup, drop-off, cargo and the charge. It can be taken at the office or placed by the customer on your own website against your published price list. Each order gets a reference and a tracking code the moment it is created. The charge is locked at dispatch, and any later adjustment is added as a new record with a reason, so the original stays visible.
Dispatch to a driver and vehicle
From the office, each shipment is dispatched to a driver or rider and a vehicle, from bikes and tricycles to vans and trucks. Everyone can see who is carrying what. The driver sees only their own deliveries on their phone and marks each one picked up when they collect it.
A numbered waybill for every shipment
Every shipment has a numbered waybill linked to its order, vehicle and driver, printable from the order page. The waybill sits with the order's price, payment status and any adjustments, and it carries the tracking code so the customer can follow the delivery. For more detail, see the waybill software page.
Proof of delivery on the driver's phone
When the goods are handed over, the driver records the recipient's name, a note, an optional photo, the GPS location and the time, from a phone-friendly delivery screen. That record stays attached to the shipment for good. If a customer later says it never arrived, you have the name, the place and the moment.
Failed attempts are recorded, not overwritten
If nobody is there to receive the goods, the driver marks the delivery failed with a reason. The office opens a new attempt on the same order, and the failed attempt stays in the history. Nothing is rewritten, which matters when you need to explain to a customer what happened and when.
Customers track their own deliveries
Every order has a public tracking page, opened by its tracking code with no login. It shows the status and times from booking to delivery without exposing addresses, money or internal notes. Fewer calls reach the office because customers can see the answer themselves.
Money, riders and the fleet underneath
Deliveries are only half the business. The other half is the money that comes in and the vehicles and people that do the work.
Payment status on every order
An order is unpaid, paid or partly paid. Online orders are paid before dispatch, straight into your own Paystack account, and count as paid only when the provider confirms it. Office orders are recorded as cash, transfer or POS, and the day's takings are reconciled the same way, with cash recorded and electronic payments verified. Rydmate does not hold your money and takes no percentage of your sales.
Rider pay counted from deliveries
Set a pay rate per delivery. Each delivery records what the rider earned, riders can see what they are owed, and the office records each payout so nothing is paid twice. The end-of-week argument over rider pay goes away because the deliveries are the evidence.
Vehicles, tracking and costs
The live map shows where each vehicle is, from drivers' and riders' phones on every plan or from fitted GPS trackers on Growth and above. Vehicle documents and maintenance dates sit on each vehicle's record, and fuel and repair expenses are submitted from the road and approved in the office. You can see how this fits together for delivery and haulage businesses on the logistics solutions page.
A checklist for ending lost waybills and delivery disputes
Use this list to tighten your operation, whether or not you change software today.
- Take every order in one place. No order should exist only in a chat or on a rider's phone.
- Give every order a reference and a tracking code. It is the thread that ties the order, the waybill and the delivery together.
- Fix the price before dispatch. Use a price list where you can, and record any later change as an adjustment with a reason.
- Dispatch to a named driver and vehicle. Anyone in the office should be able to see who has which shipment.
- Print the waybill from the order, not from a blank book. One number, one shipment, linked to its payment status.
- Record proof at the door. Recipient name, time and location at minimum, and a photo where the goods are valuable.
- Record failed attempts with a reason. Open a new attempt on the same order instead of starting over.
- Let customers track themselves. Put the tracking code on the waybill and in the booking confirmation.
- Pay riders from the delivery record. Not from memory at the end of the week.
Getting started without stopping deliveries
Start with one branch, one service or one group of riders. Add your price list, vehicles and drivers, and run a few days of orders through the system while the dispatcher keeps the old book as a check. Once the team trusts the waybill and proof flow, move everyone across.
Rydmate is priced monthly in naira. Starter is ₦35,000 a month for up to 5 vehicles and 1 branch, Growth is ₦85,000 a month and Scale is ₦175,000 a month for bigger fleets and more branches, and Enterprise is priced to fit. There is no free trial; the way in is a demo. See the pricing page and the logistics module for details.
Frequently asked questions
What is the best way to prove a delivery was made?
Record it at the moment of handover: the recipient's name, the time, the GPS location and, where it matters, a photo. In Rydmate the driver captures this on their phone and it stays attached to the shipment, so it can be shown if a customer disputes the delivery.
Can we still print waybills?
Yes. Every shipment has a numbered waybill that prints from the order page, with the order, pickup, destination, cargo and tracking code. It is linked to the order's price and payment status.
What happens when a delivery fails?
The driver marks it failed with a reason. The office then opens a new attempt on the same order, and the failed attempt stays in the history rather than being overwritten.
Can customers see where their delivery is?
Yes. Each order has a public tracking page opened by its tracking code. It shows the status and times without showing addresses, money or contact details.
Can a logistics company use Rydmate without the passenger transport features?
Yes. A logistics business sees the logistics side: orders, dispatch, waybills, deliveries, riders, customers, fleet and tracking.
Book a demo
If waybills still live in carbon-copy books and disputes are settled by whoever shouts loudest, book a demo. It is a 20-minute conversation about how you run orders, branches, vehicles, drivers and reporting today. We then show you a demo of the parts that matter to you, and you start with one branch or route before moving the rest.
